5 tips from the DJ: What to look out for when searching for a location for your Christmas party
The location plays a vital role in the Christmas party - if everything is right, the perfect conditions are created so that the guests not only have a great time but also celebrate a fantastic party.
When looking for a location for a Christmas party, there are a few important points to bear in mind. Here, I have summarised the 5 most important points for choosing the right location for your Christmas party.
When viewing the location and making arrangements for your Christmas party, pay attention to the following:
1. What is the quality of the sound system at your Christmas party venue?
No matter how good the DJ for your Christmas party is - if they have to use an insufficient, outdated sound system, it will massively impair the success of the Christmas party. Therefore, it is crucial to discuss with the venue in advance what equipment is available on-site. As a rule, venues can also provide a list of the individual components, including the sound system's type designations. Based on this list, your DJ can assess the quality of the sound system at the venue very well. If it is too old, you may incur additional costs for hired sound equipment.
2. Does your Christmas party location have a volume limit?
I have already dedicated a separate blog post to the topic of volume that's how important it is! If there are restrictions on the party volume, even the best sound system - whether available in the location or hired externally - won’t make a difference. There are quite a few venues where a party is not possible from a DJ's point of view because the volume specifications are unsuitable for a party. Unfortunately, some venue operators only address the volume issue after the contract has been signed. So make sure you are well-prepared and discuss the issue in advance. A party with music at room volume will otherwise bring your Christmas party to a quick end.
3. How big is the dance floor at your Christmas party location?
Please note that there is one particular factor to bear in mind here. Unlike weddings and other celebrations, which are chosen according to the party size, you should plan differently for Christmas parties. At Christmas parties, not all guests stay in the venue until the party. Many enjoy the first few hours of the Christmas party and the meal in a cosy atmosphere. Experience has shown that many guests leave after the meal, so from one moment to the next, only 400 of the 600 guests remain at the Christmas party. Here’s a tip: Don't pick a dance floor that's too big, because if the dance floor is too large, people won't get into the right mood. If there are fewer guests than planned for the party, the dance floor can be made a little smaller with bar tables, etc.
4. How is the dance floor positioned in the location?
There is also a tip for positioning the dance floor - it is ideal if it is located close to the bar. Men, in particular, like to venture onto the dance floor after having one or two more drinks. From the bar, they can look at the dance floor and the party action before hitting the dance floor. So the party is just a few steps away from the bar. The bar's location in an adjoining room or far from the dance floor is unfavourable. This separates the party guests unnecessarily and affects the atmosphere.
5. Is there a photo booth, photo box, or other entertainment elements at your Christmas party?
The same applies to all entertainment elements: Plan these near the party. Even if the location of your Christmas party offers you different rooms to use - as soon as the party starts, everything should only take place near the dance floor. Every guest wandering around in other rooms will be missed at the party, which can quickly create the feeling of an "empty" party or dance floor. Therefore, position fun elements such as a photo booth in the same room as the dance floor so that guests return to the dance floor when their next favourite song comes on.
